Five stages. Always in view.

Every meeting moves through the same five stages, and Apollo shows exactly where it is and what comes next.

  1. Prepare agendaBuild the agenda from your meeting type's sections and items.
  2. Publish agendaApprove and distribute the agenda bundle, with late items when needed.
  3. Prepare minutesSet up the minutes from the published agenda.
  4. Conduct meetingRun the meeting and record outcomes against each item.
  5. Publish minutesConfirm, approve and publish the minutes bundle.

Why Apollo

From agenda to action.

Modern tools for structured meetings, informed decisions and clear follow-through.

Agendas built from templates.

Build consistent meeting types with predefined structures, agenda sections and document bundles, then reuse them across recurring meetings. Create an agenda item straight from the home screen.

The Apollo items list header showing 20 items with status counts and filters for All, Needs approval, Late, Confidential and Mine.

Bundles that circulate themselves.

Generate agenda, minutes, late agenda and attachment bundles, including confidential versions, and see the approval status of each one before it goes out.

Four Apollo document bundles, Agenda Bundle, Minutes Bundle, Late Agenda Bundle and Attachment Bundle, each marked Approved.

Approvals, built in.

Agenda items and bundles go through approval inside Apollo. Approvers work from their queue, authors follow their submissions, and every outcome is kept with its history.

The Apollo Approvals Dashboard listing approved agenda items and bundles with the meeting name, meeting date, author, approver, status and outcome, with tabs for My Approvals, My Submissions and All Approvals, and an Export to Excel button.

Every decision, on the record.

Resolutions are captured with an ID, meeting, associated item, author and outcome, including the vote, and stay searchable long after the meeting.
